Create an account

To create an account on Ads N Play, follow these steps:

  • Visit the Website
  • Sign Up
    • Click on the “Sign Up” button.
  • Select Account Type
    • Choose “Register as a Broadcaster”.
  • Fill in Your Details
    • Complete the registration form by providing all the required details.
  • Verify Your Email
    • After submitting the form, you will receive a verification email.
    • Check your email inbox for the verification email. If you don’t see it, make sure to check your spam or junk folder.
    • Click the verification link in the email to verify your email address.
  • Log In
    • Once your email is verified, you will be redirected to the login page.
    • Enter your login details (email and password).
  • Confirm Your Login
    • You will receive an email to confirm your login.
    • Click the confirmation link in the email to complete the login process.

Important Security Information

  • Regular Login Confirmation
    • You need to confirm your login every 30 days.
    • Additionally, login confirmation is required every time you:
      • Attempt to connect from a different browser.
      • Log out and log back in.
    • This measure is in place to ensure the security of your account.

Troubleshooting

  • Didn’t Receive Verification Email?
    • Check your spam or junk folder.
    • Ensure you entered the correct email address during registration.
    • If you still can’t find the email, try resending the verification email from the registration page.
  • Issues with Login Confirmation
    • Ensure you are using the same email and password you registered with.
    • Check your email for the confirmation link and click it to complete the login process.
    • If you don’t receive the confirmation email, check your spam or junk folder.

My Clocks

Clocks are used to identify advertising opportunities. You can use a different clock for each variation of your schedule.

Create a New Clock

  1. Click on “Add Clock”
  2. Enter the name of your clock
  3. Save

Add Advertising Blocks

  1. Click on “Add Block”
  2. Identify the start time of your advertising block
  3. Indicate the duration of the advertising block in seconds
  4. Identify the type of advertising block

Audio

  • Advertising block containing audio files in .mp3 format

Native Ads

  • This refers to an advertisement read live by the host or an integration of a logo into social media.
  • Advertising block containing no audio file.
  • By default, live advertisements have a duration of 0 seconds.
  • Only one advertisement can be scheduled per block assigned as an Integrated Advertisement.

Identify the price of your advertising opportunity.

  • The price is for a duration of 15 seconds or an integrated advertisement.
  • For a 30-second advertisement, the price will be doubled.
  • The price will be used only on the Ads N Play Marketplace.

You can manually edit the details of an advertising block by clicking on the pencil icon. Make the necessary changes and then click Save.

The changes made will only apply to clocks whose register programming has not yet started. Therefore, please make your changes at least 48 hours before they take effect.

Delete Advertising Blocks

You can manually delete an advertising block by clicking on the trash can icon.

Import Advertising Blocks

You can import your advertising blocks via a .csv file.

  1. Click on the “Import Blocks” button
  2. Download the template file
  3. Identify the type
    • You must create one .csv file for audio advertisements and another for live advertisements

Duplicate a Clock

If several of your clocks are similar with only minor variations, you can duplicate a clock to quickly create a new one.

  1. Click on “Duplicate Clock”
  2. Enter the name of the new clock
  3. Click Save

My Channels

A channel is a radio station, a podcast, or a Facebook, Instagram, or TikTok account.

Add a Channel

  • Click on “Add Channel”
  • Enter the name of the channel
  • Select the category: Radio or Podcast
  • Select the broadcasting language of your channel
  • Indicate the province and region
  • Enter your tax numbers
    • These will appear on your invoices
  • Enter the email of the manager
    • Daily notifications about the advertising register will be sent to this email address.
  • Import your channel’s logo
    • This will appear on your invoices and other documents
  • If you wish to create co-op invoices, please enter the name and title of the person who will sign the proof of broadcast document.
  • You can also upload an electronic signature that will be used on the documents.

Next, assign your clocks to specific days. You will be able to modify these clocks in the calendar later.

Channel Approval

Once you create a new channel, it must go through a review process by our team. Please allow up to 48 hours for your channel to be approved.

Edit a Channel

Click on the edit icon to change certain settings of your channel. Editing a channel will trigger the review process again.

Delete a Channel

You can delete a channel by clicking on the delete icon. If you deleted a channel by mistake, please write to [email protected] to restore it.

Channel Availability

You can modify the visibility of your channel on the advertiser marketplace. Simply change the availability status on the main channels page.

Scheduler

Each channel has its own calendar to identify the clocks to use in advertising programming.

To access a channel’s scheduler, click on the “Scheduler” link in your channels menu.

The clocks assigned to each day of the week when you created your channel are automatically configured in the scheduler.

Making a Day Inactive

You can make a day inactive by clicking the “Active” button. When a day is inactive, no advertising register will be created.

Modifying the Assigned Clock

You can modify the clock assigned to a specific day by clicking on the clock’s name.

Accessing the Advertising Register

To access the advertising register for a specific day, simply click on the “Register” button.

Tip

It is recommended to modify your clocks for holidays, special broadcasts, or other changes several months in advance. This ensures the creation of the most accurate advertising contracts possible. The software automatically calculates the number of advertising opportunities within a contract based on the clocks assigned to your channel’s calendar.

Podcast

For podcasts, you can activate the recording or broadcasting day, depending on what suits your operations best.

Ads Scheduler Log Page

The advertising log contains all the ads scheduled for your channel on specific days.

Searching for a Campaign

The search function allows you to see the placement of a specific campaign within each advertising block. You can remove the campaign from the advertising block if needed.

Generating the Log

You can manually generate the advertising register before the automatic creation by pressing the “Generate Log” button.

Filling Available Spaces

You can fill available spaces in your advertising register by clicking on the “Filling empty spaces” button.

Automatic Creation of the Advertising Log

By default, the software will design your advertising log starting from the day before the broadcast date. The software will use the following priority order to create the advertising log. Contracts with the lowest priority might not be broadcasted due to a lack of available space.

    1. Sponsorship
    2. Paid Advertising Contracts
    3. Bonus
    4. Self-Promotion
    5. Trade Contracts

Marketplace advertisements are automatically inserted into your advertising log.

Advertising Block Format

Here’s how advertisements will be placed within advertising blocks:

  • Sponsorship: It is suggested to select the option to force the start or end of an advertising block when creating a sponsorship contract. By default, sponsorships will always be placed at the beginning or end of an advertising block.
  • Self-Promotion: Only one self-promotion contract can be in an advertising block. It will be placed at the beginning of the block or right after the sponsorship.
  • Commercial/Trade: Commercial advertising contracts or trade contracts are randomly placed within the advertising block, regardless of their value. If the option to force the start or end of the block was selected, the advertisements will be placed accordingly:
    • Start of the block: At the beginning of the block or after a sponsorship or self-promotion.
    • End of the block: At the end of the block or before the sponsorship.
  • Live Advertisement: Only one live advertisement can be in a live advertisement block.

If necessary, to make room for paid advertising contracts or sponsorships, the software will remove self-promotion or trade contracts to free up space.

Exporting the Log

Every day at 8 AM, you will receive an email informing you that the advertising log is ready for export. You can always manually move advertisements within the register after it is closed. Once you are satisfied, you can export the register in the following formats:

  • .SCH for your broadcasting software
  • .PDF for review

Exporting Audio Files

At the same time, you can export all .mp3 (audio) files and .pdf (live advertisement) files of the advertisements in the advertising register in a .zip file.

Advertising Register is a log that keeps track of all advertisements scheduled for your channel on specific days.

Clients

The clients section allows you to record relevant information about your advertisers. The details recorded will be automatically imported when creating an advertising contract for that client.

Adding a New Client

Click on “Add a Client.” Enter the client’s information and click “Add.”

Bulk Importing Clients

You can import multiple clients at once using a .csv file. Click on “Import.” Download the template file and then import the .csv file.

For provinces, please use the following values: BC, MB, NB, NL, NS, NT, NU, ON, PE, QC, SK, YT

For the payment method, please use the following values: Bank Transfer, Credit Card, Check, Other

If you attempt to import a new client whose email address is already used, the import will fail.

Modifying a Client

You can modify a client’s information by clicking the “Edit” button. This will give you access to fields not visible in the client list.

Contracts

The advertising contracts section allows you to schedule internally sold campaigns. Depending on the creation steps, a contract can have different statuses:

  • Draft: The contract and its parameters can still be modified.
  • Approved: Once approved, a contract can no longer be modified.
  • Ongoing: An ongoing contract is automatically scheduled in the advertising register based on the established parameters.
  • Paused: The contract remains active but is no longer automatically scheduled in the advertising register.
  • Completed: A completed contract is no longer scheduled in the advertising register.

Create a contract

Click on “Add Contract”

    • Contract Date: The date you create the contract
    • Channel: Select the channel for which you want to create a contract
    • Reach: The reach is automatically displayed based on the selected channel

Client Information

  • Name: You can select a client from your client list. You must first create the client in your list before creating a contract for them.
  • Sales Representative: Select the sales representative who sold the contract. You must create the representative in the users section to select them.
  • Agency: You can enter the name of a consulting agency here.
  • Commission: By entering a name in the Agency field, a new field appears. You can enter the commission amount per advertising opportunity.
  • Category: Choose the category of the advertising contract. This is used for programming the advertising register. No advertisements of the same category will be broadcast consecutively.
  • Campaign Title: The campaign title will be used to identify the campaign in the various sections of the software.

Campaign Details

This section is used to set the broadcast parameters of your campaign.

  • Start Date: The start date of the campaign broadcast
  • End Date: The end date of the campaign broadcast
  • Inclusion in Register: Select Yes to schedule the campaign in the Advertising Register. If you select No, the campaign will not be scheduled in the register.
  • Campaign Type: Select from Commercial, Live Advertisement, Sponsorship, Self-Promotion, or Trade.
  • Duration: Select the duration of the advertising message. By default, live advertisements are set to 0 seconds.
  • Opportunities per Day: Enter the number of times you want to broadcast the advertisement in a single day.
  • Specific Days: You can select specific days for broadcasting the advertisement. If no selection is made, the advertisement will be broadcast every day.
  • Specific Hours: You can select specific time segments for broadcasting the advertisement. If no selection is made, the advertisement will be broadcast at any hour.
  • Audio: Select Yes if you want to generate an identifier for your audio file. If you select No, no audio identifier will be created.
  • Number of Files: Select the number of audio files you want to use for the campaign. If there is more than one file, the rotation will be scheduled as follows:
    • 2 files: 50%-50%
    • 3 files: 33.4%-33.3%-33.3%
    • 4 files: 25%-25%-25%-25%
    • If you want to modify these percentages for a specific contract, please write to [email protected] specifying your contract number.
  • Specific Clock: You can select a specific clock for broadcasting the advertisement.
  • Specific Block: You can select a specific block within a clock for broadcasting the advertisement.
  • Force Start or End of Block: You can force the scheduling of the advertisement at the start or end of the advertising block.
  • Rate: Enter the rate for each advertising opportunity.

In the section on the right, you can enter:

  • A note to display on the contract
  • The payment method
  • The payment term
  • The selection of taxes is automatic and cannot be modified.
  • Check the co-op box if you want to include a proof of broadcast with the client’s invoice.

You can then save the contract. It will retain its Draft status.

Here is how to program a bonus for advertising opportunities:

  1. Click on Duplicate

    • The fields in the “Campaign Details” section will be copied into a new section.
    • You can modify the different parameters while setting the price to $0.

Audio File Identifiers

If you select a specific audio file in the first broadcast parameter, this file will automatically be used for all other parameters included in the contract. This means you do not need to manually select the same audio file for each parameter.

If you want to use different audio files for each parameter included in the contract, it is best to create a different contract for each audio file.

Adding More Advertisements

You can insert as many advertisements as you want within a single contract. You can either use the Duplicate function or start a new blank section by clicking on the “Insert Advertisement” button.

Specific Clock

If you select a clock for the broadcast of your advertisement message, make sure to duplicate the advertisement and add all possible clock variations over the duration of the contract.

Example: The advertisement must play from Monday to Friday in the 8 AM block. If you use Clock A and Clock B during a week, you must create two advertisements with the mentions Clock A – 8 AM Block and Clock B – 8 AM Block.

Total Opportunities

The total number of advertising opportunities listed in the contract is calculated automatically by the software. If you make a clock change after creating your advertising contract, the billed quantity might differ from the previously displayed quantity in the advertising contract.

Sending an Advertising Contract

Once the advertising contract is saved, you can send it by email by clicking on the “Send” button. The client will receive an email with a .pdf file of the contract.

Printing an Advertising Contract

You can download the contract in .pdf format by clicking on “Download Contract.”

Approving an Advertising Contract

You can approve and thereby authorize the scheduling of the contract in the advertising register by clicking on the “Approve Contract” button.

Inserting Audio Files

When you create your advertising contract, the software assigns identification numbers to the audio files required for broadcast. When you have the advertisements in .mp3 format, you can import them directly into the advertising contract. If you do not want to import the audio files within a contract, make sure to use the same identifiers for your .mp3 files so that they are associated with the correct advertising contract in your broadcasting software.

Adding the Text for a Live Advertisement

If the campaign type is a live advertisement, you can insert the text directly into the advertising contract. When exporting your advertising registers, the texts of live advertisements will be exported in .pdf format to facilitate broadcasting by your hosts.

Co-op Billing

If you have selected the co-op billing option, you must add the text of the advertising message within the contract. You can update the text at any time.

Adding a Payment

It is possible to record payments made by a client before issuing an invoice. You can record the payment directly in the advertising contract. When an invoice is issued, the payment will be deducted from the invoice balance.

Pausing a Contract

If you want to stop the broadcast of an advertising contract, you can press the “Pause” button. It will no longer be automatically scheduled in the advertising register. You can resume scheduling at any time by pressing the “Resume” button.

Ending a Contract

If you want to cancel a contract before the end of its broadcast, you can click the “End” button. This action is irrevocable, and you will not be able to reactivate the contract afterward.

Create invoices

Invoices are automatically created at the end of an advertising campaign. They are initially created in draft mode, and you need to approve them.

Creating an Invoice Manually

You can create an invoice manually by clicking on the “Create Invoice” button. You need to input the dates for which you want to bill the client and select the advertising campaign.

Sending an Invoice via Email

You can download the invoice as a .pdf or send it via email by clicking the corresponding buttons on the invoice page.

External Production

You can create an audio production request in the “Audio Production” section. You must provide information about your advertisement, such as the voice, duration, and ad text. If you don’t have a text, you can use our AI integration by providing some data about your ad. You can generate up to three text proposals. Once satisfied, you can copy the text and paste it into the ad text space. After payment, you will be notified when the ad is ready for review. You can request a revision if you are not satisfied. Please allow 48 hours for the production of your ad.

Reports and Data

Ads N Play provides various reports. In the “Reports” section, select the channel for which you want to create a report. Choose the date range. You can then select from four different reports.

Audio Files

When you import an .mp3 file into an advertising contract, it is listed in this section. You can listen to the audio file by clicking the “Play” button.

Users

The “Users” section allows you to manage access for other people to your account.

Adding a New User

Enter the relevant information. There are two possible roles:

  • Routing Clerk: This role grants access to all sections of your company, except for the billing and payment details of the software.
  • Sales Representative: This role grants access only to the clients, contracts, invoices, and audio files sections.

Ad Production Request

You can easily request the creation of your advertisement. Follow the steps below to get started:

  1. Create a Request:
    • Provide a name for your ad request.
    • Select the voice gender (male or female) you prefer.
    • Specify the desired length of the advertisement.
    • Choose the language for the ad.
    • Provide as many details as possible to help us generate the script. Feel free to include information about your target audience, desired tone, key selling points, and any specific messaging you want to convey.
  2. Script Option:
    • If you already have a script prepared, you can simply upload it by checking the designated box.
    • If you don’t have a script, no worries! You can proceed to generate the script using our tool.
  3. Generate the Script:
    • Click on the “Generate Script” button to automatically create a script for your advertisement.
    • You have the option to generate the script up to three times, allowing you to choose the version that best fits your needs.
  4. Review and Modify:
    • Once the script is generated, review it carefully.
    • If necessary, you can make modifications directly within the provided text box.
    • Feel free to adjust the wording, add or remove content, or make any other changes to ensure the script meets your expectations.
  5. Submit:
    • After finalizing the script, simply copy it from the text box and submit your ad request.
    • Our team will work on creating the advertisement based on your specifications.
  6. Review and Approval:
    • Once the ad is ready, you will receive an email notification.
    • You can then review the advertisement and either approve it for use or request modifications if needed.

My Campaigns

This page lists all the campaigns conducted on the Ads N Play platform, providing some summary results.

Creating a Campaign

  1. Click on “Create Campaign”
  2. Fill in the following fields:
    • Name: Indicate the name of your campaign. This is for your reference only.
    • Start Date: By default, the campaign cannot start on the same day to ensure all partners receive the information before airing.
    • End Date: For podcast campaigns, your ads may continue to be heard after the end date, depending on their integration in the episodes. Also, episode broadcasts may be delayed by a few days.
    • Ad Type: Choose between an audio ad or an integrated ad.
      • Audio Ad: A pre-recorded 15 or 30-second message that is aired.
      • Native Ads: This can be a live-read message by a host or a logo integrated into an episode or a social media video.
    • Category: Select your business category. This helps our algorithm to avoid airing ads from two companies of the same category too close together.
    • Language: Select the language of your ad.
    • Strategy: Choose between Impressions or Broad Coverage.
      • Impressions: Our algorithm will maximize the number of listeners for your ad at the best price.
      • Broad Coverage: Our algorithm will aim to broadcast your ad on as many radio stations or podcasts as possible.
    • Platform: Choose between a radio or podcast campaign.
      • Radio Campaign: You can select specific days and time slots for your ad.
    • Province: Select the province where you want your ad to be heard.
    • Region: For radio campaigns, you can select a specific region. If no region is selected, your ad will air on all available radio stations on our marketplace.
    • Audience: Select the gender and age range of your audience. Our algorithm will target the ad placements that most align with your target audience. Note that your ad will also be heard by people outside your target, but we will maximize the reach within your audience.
    • Budget:
      • Radio Campaign: Enter your daily budget. We will build the best campaign each day based on available ad spots.
      • Podcast Campaign: Enter your weekly budget.
    • Media:
      • Audio Campaign: Upload a .mp3 file of 15 or 30 seconds. If you do not have an audio file, select the ad production option, and our team will create your ad.
      • Integrated Ad: Provide as many details as possible about your business and the message you want to convey. Include your phone number and email address so a media representative can contact you if more information is needed.

Review the details of your campaign and schedule it.

    • Your campaign will be reviewed by our team and approved within 24 hours.

For each advertising campaign, you can view complete results. Here are some details about the provided data:

  • Amount Spent: The total amount invested in your campaign to date.
  • Estimated Listeners: The total number of impressions, which is the number of listeners of your message. This is an estimate as radio listening data is obtained by survey. For podcasts, it’s an average of listeners from the last four episodes.
  • Estimated Unique Listeners: The unique number of listeners who heard your message. We have developed a mathematical formula to estimate the unique number of listeners based on broadcast times and dates.
  • Frequency: The number of times a listener has heard your ad.
  • CPM (Cost Per Thousand): The average cost to reach 1,000 listeners.
  • Airings: The number of times your ad was broadcast on the radio or podcasts.
  • Total Channels: The total number of radio stations and podcasts on which your ad was broadcast.

Ad Production Request

You can easily request the creation of your advertisement. Follow the steps below to get started:

  • Ask for Ad Production when creating a campaign
  1. Create a Request:
    • Provide a name for your ad request.
    • Select the voice gender (male or female) you prefer.
